The four roles
- Owner: everything an admin can do, and the only one who can change the plan, make someone an admin or change an admin, and require two-step sign-in for the team. The owner cannot be changed in the app yet: email hello@letcompliance.com to make someone else the owner.
- Admin: adds, edits and removes properties, tenants, documents and finance; invites, changes and removes managers and viewers; and opens every Office page: Agency compliance, Complaints, Team, Team activity and Agency settings.
- Manager: runs the properties day to day, adding and editing properties, tenants, documents and finance; works with the landlord clients, sends statements, records payments and keeps the complaints register. A manager cannot invite colleagues, see billing or open the other Office pages.
- Viewer: can look and export PDFs, and change nothing. In the agency part of the menu a viewer sees Lettings and Management only.
Inviting a colleague
Open Team under Office. Enter their email, choose admin, manager or viewer, add a branch if they work from one office, and press Send invite. The invitation is emailed and lasts 7 days; if it does not arrive, Copy link under Pending invitations gives you the link to send yourself. They get their own sign-in and never see your own landlord properties.
Changing or removing someone
An owner or admin changes a member’s role or branch in the Members list, or removes them, and their access ends at once. Open work assigned to someone who is removed, made a viewer or moved to one branch, and who can no longer be given it, goes back to unassigned. Any member except the owner can also leave the agency themselves. Every invitation and role change is written to Team activity.
Branches
Add, rename and delete branches at the top of Team. Renaming keeps every assignment; deleting a branch unassigns its properties and members, and no data is deleted. On Properties and on Letting pipeline, a branch filter appears once the properties shown there belong to two or more branches. A member pinned to a branch sees only that branch’s properties, tenants, costs and keys; leave the branch blank for someone who covers them all. Owners and admins see every branch.
Comparing branches
Once two or more branches have properties, Branch comparison sets them side by side: properties, empty ones, rent received and commission this calendar month, arrears due and unpaid today, and certificates expired or due within 30 days.
