How do the repair limit and landlord approvals work?

Each landlord client has a repair limit on their page. A quote above it, or every quote when no limit is set, is asked of the landlord from the repair: they get an email from your agency with a link to approve, decline or ask for a call, and their answer is kept.

Setting the limit

An owner or an admin sets it on the Repair limit card on the client’s page. Blank means every repair needs the landlord’s approval. A quote at the limit is within it. The limit is a term of your agreement with the landlord, so if it differs from terms they signed or have been sent, the card says what the terms say and asks before saving.

Asking the landlord

Unfold the repair on the Repairs screen and press Ask the landlord. An owner, an admin or a manager can ask, about any repair they can see; a manager kept to one branch sees that branch’s repairs. The landlord is emailed from your agency with the quote and the problem, and a link that works for 14 days shows the tenant’s description and photos. They approve, decline or ask for a call, with a note if they like.

Where the answer shows

On the repair, on the client’s page under Approvals, and in the notifications of the member who asked (owners and admins see every answer), and on the landlord’s portal, which marks a repair still waiting for their answer.

Approving the contractor’s quote

When the landlord has not approved a quote, because it is above their limit or above what they approved, or they declined or asked for a call, Approve says why beside the button and asks first. To go ahead anyway, write why: the reason is recorded on the repair and in the audit log, and the contractor is told your agency approved it.

Urgent safety repairs

A repair flagged as an emergency, a gas smell, no heating or hot water in winter, or damp or mould set as urgent shows a warning: the landlord’s legal duty to repair does not wait for their approval. Go ahead and record why keeps your reason on the repair.

A rent review

On the Section 13 board, Ask the landlord sends the proposed rent. The landlord agrees or suggests another figure; nothing is sent to the tenant from the link.

Who is asked

A let-only client arranges their own repairs and is not asked. A client marked ended is not asked about anything. A rent-collection client is asked about repairs in the same way as a fully managed one.
