Who can send them
An owner, an admin or a manager can prepare, send and withdraw terms. Every member can see where they stand. The terms list every property linked to the client, in every branch, whoever sends them.
What they are built from
The service and the fees on the client record, the properties linked to the client, their repair limit when one is set, your office address, and your redress and client money protection schemes from Agency compliance. Until those are filled in, the card lists what is missing and the terms cannot be sent. A property matched to the client by email only is not covered until it is linked. Press Preview PDF to read them first.
What the landlord receives
An email from your agency, with replies coming to your contact email, the terms attached as a PDF, and a link to read and sign them online. The link works for 30 days. When they sign, the signed copy is emailed to them, the member who sent the terms is told, and the signed copy with its audit certificate is on the client page. Sending new terms withdraws any older terms still waiting for a signature.
Individuals and companies
A landlord signing as an individual can cancel within 14 days of signing without giving a reason, and the terms include a cancellation form. The card asks whether the client is a company: for a company, the cancellation section is left out. If an individual cancels, record it on the card with Record cancellation.
The repair limit
The terms print the client’s repair limit. Changing the limit on the client page later does not change terms already signed or sent: the repair limit card says what the terms say, and asks before it changes. Send new terms for the landlord to sign.
Let-only and ended clients
A let-only client can be sent terms: they describe finding a tenant and setting up the tenancy, and say the landlord arranges and approves repairs. A client marked ended cannot be sent new terms until their status is changed with Edit client.
