How do I send a performance report to a landlord?

Open Performance, under Management, choose 3, 6 or 12 months and press Performance report on the landlord client’s row: it opens a PDF of their homes for you to send. Summary for new landlords is a one-page PDF of the agency’s totals only, with no names or addresses, for pitching.

A report for one landlord

On Performance, choose the period: the last 3, 6 or 12 whole months. Each landlord client’s row has Performance report, which opens a PDF of that client’s homes: occupancy, repairs, rent paid by its due date and inspections, a line for each home, what is not recorded, and how each figure is worked out. The landlord client’s own page has the same report for the last 6 months, under Performance.

Sending it

Nothing is emailed from Performance. Download the PDF and send it from your own email, for example every quarter.

The Summary for new landlords

Near the top of Performance, Summary for new landlords opens a one-page PDF for a landlord you are pitching to, for the period chosen: the agency’s name, with its logo when Agency settings holds one, how many homes it manages, and four figures: occupancy of the recorded days, the median days to complete a repair, the share of rent paid by its due date by amount, and inspections carried out. It says how many homes have no tenancy dates on file, and where the figures come from.

Why the summary names no one

It goes to people who are not yet clients, so it holds the agency’s totals only: no landlord names, no addresses and no figure for any one home or client. Below 3 homes under management one home or landlord could be recognised from it, so Performance shows a sentence instead of the button. Let-only homes are left out, because their landlord manages them.

Past results only

Both PDFs describe the period chosen, from the records, and promise nothing about what comes next. A figure the records do not support is said in words, never as 0. With fewer than half of the period’s days on record, occupancy reads Not enough tenancy dates to say, with the share and how much of the period it covers beside it.

How the figures fill

Occupancy comes from tenancy dates: end a tenancy with End tenancy and its end date, and give the next tenancy its real move-in date. Repair times come from repairs logged in the Tenant inbox and marked resolved. Rent paid on time counts rent marked paid on Rent. Inspections count the visits logged on each property.

A home you take on empty

A home with no tenant counts as empty from its Empty since date: on the property’s Overview, under Who lives here, choose Empty, looking for a tenant and give the date (it is also asked when you add a property). An advert made here counts from its date until it is taken down, and the first viewing or application recorded for the home counts from its date. Each counts until a tenancy starts, never on a day a tenancy covers, and never before the home was added to the account. A home with none of these is not recorded, never empty. For a house share only an Empty since date counts, because adverts and applications are usually for one room.

Who can use it

Owners, admins and managers. A member kept to one branch gets that branch’s homes, and each PDF says so.
