The six lines
- Rent due: the rent due in the month, what has come in and what is still owed.
- Landlord statements: each landlord’s statement for the month, drawn, issued and emailed.
- Payments to landlords: the issued statements paid to each landlord from the client account.
- Fees to transfer to the agency account: the fees earned on issued statements, VAT included, recorded as moved to the agency’s own account.
- Client account reconciled: the client account checked against the records on the last day of the month.
- Bank lines to match: lines on the client account’s bank statement not yet matched to a record.
The headline says how many of the lines are done. Work down them in order: each button opens Rent, Landlord statements, Payments or Reconcile client account at the right place.
Nothing changes here
Month end only reads. Statements are drawn and sent on Landlord statements, landlords are paid and fee transfers recorded on Payments, and the account is reconciled on Reconcile client account. Month end shows the result the next time it is opened.
Which month
It opens on the last month that has ended, and never on a month before client money starts. The arrows and the month box choose another; a month still to come has no month end.
Each landlord client
Below the lines, every landlord client with rent, a statement or a payment that month is listed with their rent due, where their statement stands and where their payment stands, with a link to the page for the next step. Clients with something left to do come first.
Who can use it
Owners, admins and managers. A member kept to one branch sees that branch’s rent; the statements and payments are the whole agency’s.
