What is listed
Every issued statement not yet paid: the landlord, the month, its reference, what it pays and the account it goes to, by name and the last 4 digits. A draft is not listed until it is issued or sent on Landlord statements. The page was called Landlord payouts until 4 November 2026.
When a statement is held back
The reason shows beside it, and it stays out of any payment file. A statement is held back when, for example, its properties are not linked to one landlord client, no bank details are on file, nothing is due, its stored total does not match its lines, or a Paid to landlord entry in Finance may already be this payout; for that last one, mark it paid on that entry’s date instead.
It is held back too when the landlord’s balance does not cover what the statement pays, because paying it would use other clients’ money. That can happen when Stripe has taken back rent the statement counts, through a refund, a Direct Debit claim or a card dispute. The balance is what the client money report shows as Held for that landlord up to today. The report opens on the whole month and counts a fee as earned on the last day of the month its statement covers, so set To to today to see the same figure. The reason gives the landlord’s balance, what the statement pays and, where rent this statement counts was taken back through Stripe and has not come back, how much. When a landlord has more than one statement waiting, the balance goes first to any already in a downloaded payment file, then to the oldest month. The hold lifts by itself once the balance covers the statement, for example when more rent comes in for that landlord or Stripe gives the money back.
If the client money report cannot be opened, no balance can be checked, so no statement can go in a payment file until it opens. Mark as paid stays open for a statement held for either reason: use it only for a landlord already paid another way, on the day they were paid.
The payment file
Tick the statements and press Download payment file: a CSV to upload to your bank. The file covers every statement chosen or none, so nobody is left out without your knowing. Only the owner and admins can download it, because it carries bank details in full, and it needs a code from an authenticator app in that session. A statement already in an earlier file asks before it goes in another, since a landlord paid from both would be paid twice.
Marking statements paid
Once the money has left the client account, tick the statements, press Mark as paid, and give that day, with the bank reference if you like. The client money report counts each payout on that day. Owners, admins and managers can mark statements paid.
Landlords’ bank details
They are added on the client’s page under Bank details for payouts, by the owner or an admin, with a code from an authenticator app. Rent is paid out to UK bank accounts only, with a sort code and account number. A landlord who lives abroad gives a UK account. Only the last 4 digits are shown, and the workspace owner and billing email are told of every change.
Fees to transfer
Fees on issued statements, VAT included, count as earned on the last day of the month each statement covers, and only as far as that landlord’s money covers them. When you move them from the client account to the agency’s own account, record the transfer here; money moved back is recorded the same way, and a reversing entry corrects a mistake. Payouts and fee transfers (CSV) downloads both for any dates.
