Before the first time
An owner or admin adds the client account with Add a bank account; the name given cannot be changed later. Then import the account’s statement on Bank statements, choosing that account. Lines imported before the account was set can be given to it here.
The three figures
Choose the day; the page opens on the last day of last month. Leave the balance box empty to use the imported statement’s balance for that day, or type the balance your bank shows, and add the total of any tenancy deposits held in the account under an insured scheme. Press Check. A. Bank is that balance, adjusted for what is recorded but not yet through the bank. B. Cash book works the day out from the money recorded in and out. C. Client ledgers adds up each landlord client’s balance. When all three agree, the page says so.
Differences
Each difference is listed under what explains it, such as a line in the bank not matched yet, money recorded as received that is not in the bank, or a payment recorded that has not gone through it. A difference not explained is counted in full. A landlord client below zero is flagged, because another client’s money may have covered it.
Matching bank lines
Each line of the client account up to the day is matched to a rent, a cost, a payout, a fee transfer or the landlords’ opening balances, with a suggestion where the amount and the reference, name or dates agree. Several records paid in one line can be matched to it together. A line not in the records gets a note saying what it is, or is marked as a tenancy deposit held there. A Stripe payout is matched on Bank statements, to the rents it paid out less Stripe’s fees.
Saving the month
Save this reconciliation keeps who signed off which day and when, every figure with its parts, the differences and their notes, and the client money report for the month to that day. Each saved one downloads as a PDF and a CSV. A saved reconciliation is never changed: if something is corrected, save again, and an older one says when the data behind it has changed.
Who can use it
Owners, admins and managers; adding a bank account is for the owner and admins. Nothing on the page moves money.
