Receipt or statement, England

Rent receipt template. Or a rent statement for the whole period.

A receipt confirms one rent payment and the period it pays for, and says so when it is only part of the rent. A statement lists every charge and payment for a period, with the balance carried from line to line. Where the rent is weekly the law also asks for a rent book, which neither of these is.

The answer

Rent receipts and statements: what each one is for

A rent receipt confirms that one payment arrived: who paid, for which property, how much, on what date and for which rent period. Tying the payment to its period is the point of it. A bank transfer shows that money moved; a receipt says which month or week it paid for, and a part payment says so on its face, with the rent still owed for that period.

A rent statement covers a run of periods instead: each charge as it fell due, what was paid against it and the balance carried from line to line. A tenant asks for one for a mortgage, a new tenancy or a benefits claim, an accountant at the year end, and a deposit adjudicator reads one when arrears are part of a claim. What a statement must show is set out in the rent statement guide.

Where rent is payable weekly, section 4(1) of the Landlord and Tenant Act 1985 says the landlord “shall provide a rent book or other similar document”. Section 5 says what it must contain, starting with the landlord’s name and address, and section 7 makes failing to provide one a summary offence, with a fine of up to level 4 on the standard scale. A receipt or a statement from this page is not a rent book in the prescribed form, so on a weekly tenancy keep a rent book as well. Section 4 covers weekly rent only: for monthly rent a receipt is good practice rather than that Act’s duty.

In LetCompliance the receipt is made from the payment you record. Mark the rent paid, record a part payment or confirm what arrived across your properties, and the receipt PDF names every landlord, the tenant, the property, the amount, the period and the date paid. On every plan it can go to everyone on the tenancy, by hand or as soon as you record the payment once you switch that on in Settings, and rent collected by Direct Debit is receipted when it lands. The statement comes from the same rent record on the trial and paid plans.

What the account adds

After the receipt: the rent every month.

Six things an account does with the same rent.

  1. 01

    A receipt from every payment

Mark the rent paid and the receipt PDF is made from the same record, with the amount, the period and the date paid.

  2. 02

    Part payments that say so

A part payment’s receipt reads PART PAYMENT and shows the rent still owed, so it is never remembered as a full month.

  3. 03Trial and paid plans

    Direct Debit with no commission

The tenant authorises a Bacs Direct Debit into your own Stripe account, LetCompliance takes no commission, and each payment is receipted when it lands.

  4. 04Trial and paid plans

    A statement for any period

Month by month, or period by period for weekly, fortnightly and four-weekly rent: charged, paid and the balance carried forward.

  5. 05Trial and paid plans

    Arrears worked out

What each tenant owes across your properties, measured against the Ground 8 threshold on weekly, fortnightly or monthly rent.

  6. 06Trial and paid plans

The tax figures from the same rent

Rent you record is posted to your income from the same record as its receipt, so the amounts match.

One login, the whole let. You are on step 10 of 12.

A receipt covers one payment. The account covers the rest of the let: the advert and applications, referencing, the signed tenancy, the deposit, the rent every month and the arrears, the inspections, and the tax figures at the end of it.

FAQ

Rent receipt questions, answered.

Does a landlord have to give a rent receipt?

Only where the rent is payable weekly does the law ask for a written record: section 4(1) of the Landlord and Tenant Act 1985 requires a rent book or other similar document, section 5 says it must give the landlord’s name and address and the prescribed matters, and section 7 makes failing to provide one an offence. For monthly rent a receipt is good practice, above all for cash and part payments. The full answer on rent receipts covers when they matter and what to put in them.

Is this a rent book?

No. A rent book for a weekly tenancy has contents set by section 5 of the Landlord and Tenant Act 1985 and by regulations, including notices in a prescribed form. These receipts and statements are payment records, and each says it is not a rent book. On a weekly tenancy keep a rent book as well.

What should a rent receipt show?

The landlord, and every landlord where there is more than one; the tenant; the property; the amount and the date it arrived; the rent period it pays for; for a part payment, the rent still owed for that period; a receipt number; and the date the receipt was issued. The PDF from this page has each of these.

Receipt or statement: which do I need?

A receipt answers one question: was this payment made, and for which period. A statement answers the bigger one: across these months, what fell due, what was paid and what is owed. Give receipts as payments arrive, and send a statement when a tenant, an accountant or an adjudicator asks for the history.

How do I give a receipt for a part payment?

Tick part payment, then enter what arrived and the rent still owed for the period. The receipt is marked PART PAYMENT rather than PAID and shows the balance, so £400 towards £750 is never remembered as a full month.

Can I use it for weekly or four-weekly rent?

Yes. Pick the rent period and the dates are worked out for it: a weekly receipt names the seven days it pays for, and a statement lists one line for each week, fortnight or four weeks. For weekly rent the rent book duty in section 4 still applies beside it.

How does LetCompliance make receipts?

From the payment you record. On every plan, marking the rent paid or recording a part payment makes the receipt PDF, which you can email to everyone on the tenancy, or have sent as soon as you record the payment once you switch that on in Settings. Rent collected by Direct Debit is receipted when it lands, and receipts sit in the tenant’s portal beside their payment history. The rent page and the statement come with the 3-day trial and every paid plan, from £7.99 a month.
