Where it is
When a tenancy on one of your own properties has ended with rent still unpaid, the Rent page lists it under Former tenants with a balance. Press Letter before claim on that row. It comes with the 3-day trial and every paid plan, and is not offered for a property in an agency workspace.
What the letter holds
The amount owed and how it is made up, from the same rent ledger the Rent page reads. With it come a statement of account, the Information Sheet and Reply Form copied word for word from Annex 1 of the Pre-Action Protocol for Debt Claims (read on justice.gov.uk on 1 November 2026), and a Financial Statement for the tenant to show what they can afford. Each tenant you choose gets their own letter and forms at the address you type, all in one PDF.
If deposit money went towards this rent, the page asks how much, so the letter never asks for it twice.
Interest
No interest is added to the amount the letter asks for. You can choose to say that, if you go to court, you intend to claim simple interest at 8% a year from the day each rent fell due. The County Courts Act 1984, section 69, lets the court award simple interest at the rate it thinks fit, and GOV.UK says the rate is usually 8%. That choice is offered only when your tenancy agreement sets no interest on late rent.
Breathing Space
Before the letter is made, you tick that you have not been told the tenant is in a Breathing Space. During one, a creditor may not take a step to collect the debt (the Debt Respite Scheme (Breathing Space Moratorium and Mental Health Crisis Moratorium) (England and Wales) Regulations 2020, regulation 7, read on legislation.gov.uk on 1 November 2026).
Posting it, and the 30 days
The protocol asks for the letter to be dated at the top and posted on that day or, if that is not reasonably possible, the next day. Post it, then record on the same page the day you posted it. The tenant has 30 days from the date at the top of the letter to send back the Reply Form.
If no reply is recorded when the 30 days have run, the page gives the figures for a money claim: the amount owed now, any interest you chose, and the court fee from GOV.UK’s fee table, with a link to make the claim online. If a Reply Form comes back, record the day it arrived, and the page lists what the protocol asks of you next.
What it does not do
- It does not find a former tenant’s new address. You type it
- It does not post or email the letter. You send it
- It does not make the money claim. You make it yourself on GOV.UK
- It covers rent on the rent ledger only, not damage or other costs, and it does not work out interest set by a tenancy agreement
