What is in it
One row per tenant on a current tenancy: the property and room, the tenant’s name, email and phone, the tenancy dates, the rent and the guarantor. Past tenants are left out, so nobody rings someone who moved out two years ago.
When it helps
A contractor at the door and nobody knows whose number to ring, or everyone in a block who needs to hear about a gas leak in the next ten minutes. The button only appears once you have at least one current tenancy.
Handling it
The file holds personal data about your tenants. Keep it somewhere only you can reach, and delete an old copy when you download a fresh one. Every download is recorded in your activity log with the date.
In a letting agency
The list covers the account you are working in. If you let property yourself and are also a member of an agency, your own tenants and the agency’s come out as separate lists, and a member pinned to one branch gets that branch only.
