What the contractor sends
Once they mark the job complete, the link asks for the invoice total in pounds and pence (up to £100,000.00), the invoice as a PDF or a photo (JPG, PNG or WebP, 4 MB at most) and, only if the invoice charges VAT, its VAT number. The file is saved in the property’s documents.
Until you confirm it, the contractor can send a corrected invoice. It replaces the draft, so the job never carries two costs.
Confirming it
Open the repair in the Tenant inbox. Under Contractor paperwork the invoice shows its amount, its file and Waiting for you to confirm. A draft is on no landlord statement.
- Confirm makes it an expense on the property in Finance, and the next landlord statement counts it
- Set aside keeps it out of Finance and off every statement
- When the repair already has a cost typed by hand, the button reads Add as a second cost, so the same job is not counted twice by accident
If the contractor sends a corrected invoice after you opened the repair, the confirm is refused and the repair is read again, so you confirm the figure you saw. Once confirmed, nothing sent from the link changes it.
A renewed certificate
When the job was sent from a due certificate on the renewals page, the link also takes the new certificate or assessment. No date is saved when it arrives. On the repair, Read its dates reads them for you to check or correct, and saving them to the record writes the new date only if it is later than the one on file.
Who can use it
Agency workspaces only. An owner, admin or manager can confirm or set aside an invoice and save a certificate’s dates; other roles see them. On a landlord’s own account the job link takes quotes and status updates exactly as before.
