Where do I plan maintenance and keep a repair history?

Planned maintenance holds the jobs you know are coming, a boiler service, gutters, decorating, so they are budgeted rather than a surprise. The repairs and warranty log holds what has been done, by whom, what it cost and what is still under warranty.

The two halves

Planned maintenance is forward-looking: work you already know is due. The repair log is backward-looking: what happened, who did it and what it cost. Most landlords keep neither, and pay for it twice.

Why the warranty column earns its place

A boiler repaired eighteen months ago may still be covered. Without a record, the second failure gets paid for again at full price, and nobody ever finds out. This is the cheapest money the product will save you.

Budgeting instead of reacting

A boiler service booked in September costs the same as one booked in September. A boiler that fails in January costs an emergency call-out, a cold tenant and a complaint. The only difference is whether the date was written down.

It feeds the tax figures too

Repairs recorded against the property flow into the expense side of your SA105 preparation, so keeping the history is not admin for its own sake.

Contractors

Jobs are assigned from your own contractor register, so the person who fixed it last time is one click away rather than a number in an old text message.
